​What Are Your Organizations Travel Risk Protocols

The Washington, D.C.-based Global Business Travel Association (GBTA) Foundation, which does research to benefit the business travel industry, recently released key results from a survey of travel managers and travel-risk managers. It indicates that most organizations (83%) have instituted travel risk management (TRM) protocols as part of a plan to maintain the safety and security of employees who travel on the organization's behalf.

Other key findings include that a third of survey participants stated that they "could locate all impacted employees in real-time" in the event that an emergency occurred, with 20% saying the process would take only 15 to 30 minutes, and almost another third (31%) indicating at least 30 minutes would be required. Another 20% responded that they "did not know how long it would take" to locate all their affected employees.

What's more, the findings show that the estimated median was one-and-a-half hours to verify that all employees are safe. The largest percentage (43%) said this process would take one or more hours; the rest of the survey participants were fairly evenly divided between those saying "less than one hour" (28%), those saying "two or more hours" (24%), and those who were unsure of how long it would take (29%).

The study also notes that organizations are using different types of data sources to communicate with their traveling employees. A Travel Management Company (TMC) system is the most used option (60%), with other organizations relying on a third-party traveler tracking system (41%), or a mass notification system (35%). Interestingly, only the smallest group percentage-wise (21%) employs a centralized system that automatically combines all relevant data sources.

What's more, of the organizations currently not having TRM protocols set up, 60% noted that they intended to roll them out within the next year. The study authors say that the ubiquity of smartphones makes tracking employees and communicating with them, especially through a dedicated smartphone app, easier than ever.

The most typically utilized travel risk management protocols include traveler tracking and pre-travel approval. Other common TRM protocols are pre-travel info and preparation, sometimes along with the use of a travel concierge, and automated, real-time communication concerning risks. On the local level, some TRM protocols include having local providers for medical aid and security, as well as assistance services.
